Problem

An info-producer manually grants access after payment, collects forms in Google Forms and transfers the responses to a spreadsheet, writes welcome emails, and assigns tasks to curators. At scale, this leads to delays, lost clients, and chaos in the CRM.

8 ready-made n8n workflows cover the entire onboarding process: a webhook from the payment system grants access and creates a client in Airtable, a questionnaire form and a Telegram bot collect data, a scheduler launches the welcome series and renewal reminders, a separate workflow assigns a task to the account manager, and a webhook API serves aggregates for a mini-dashboard. Everything runs without manual actions.

The automated client onboarding system is 8 interconnected n8n workflows (n8n 1.x) plus a mini-dashboard based on a webhook API. The flow: the payment system (Tinkoff, YooKassa, or Stripe) sends a payment webhook → workflow 01 verifies the provider's signature, creates/updates the client in Airtable, and grants access. Then the client fills out a form (02, formTrigger), the welcome email sequence is launched (03, emailSend via SMTP/SendGrid), and tasks are created for the curator in Trello or Notion (04) with different deadlines for the premium and basic tiers. Workflow 05 runs on a schedule (scheduleTrigger), finds clients in Airtable with expiring access, and sends renewal reminders. Workflow 06 serves data for the mini-dashboard via webhook + respondToWebhook (aggregating clients, statuses, and tasks from Airtable). Workflow 07 collects feedback via a form and saves it to Airtable, duplicating the notification to Telegram. Workflow 08 is a Telegram bot on telegramTrigger that guides the client through the onboarding steps and creates a client record in Airtable. All identifiers (baseId, tableId, chat_id, sheet_id) are moved into $env variables — a single config for the entire set. Note: the steps in the Telegram bot (08) are sent at a 1-minute interval — this is a demo/quick mode; for real onboarding, the interval should be increased in the delay node. Installation guide

1. Import the required JSON files into n8n (Workflows → Import from File). 2. Connect the credentials: Airtable (Personal Access Token), SMTP or SendGrid, Telegram Bot Token, Google Drive, Trello/Notion. 3. In each workflow, open the Airtable nodes and replace the base and table IDs with your own. 4. In 01_webhook_payment_to_access, configure the webhook in the payment system (Tinkoff/YooKassa/Stripe) and specify the secret for signature verification. 5. In 02 and 07, activate the Form Trigger and copy the public form links. 6. In 03 and 05, check the schedule (daily and weekly) and the email texts. 7. In 06, copy the webhook URL, paste it into the dashboard file, and host the dashboard on static hosting. 8. Activate the workflows with the Active toggle.
