Why routine eats up an agency

If you run a micro-agency or work as an info producer, this picture is familiar: leads come in from forms, Telegram, email, and social media — each in its own place. You manually transfer contacts to HubSpot, clarify the budget and the task, set tasks, and then also put together reports for clients in Google Sheets. By the end of the week, this takes more time than the actual work with clients.

The problem isn't that you work slowly. The problem is that the processes aren't connected to each other. Each step is a separate operation you have to remember to do. Automation on n8n solves exactly this: it connects lead sources, qualification, CRM, reporting, and notifications into a single pipeline.

Step 1. Capturing leads from all sources

What this looks like in practice:

  • n8n checks the request fields against the specified conditions;
  • assigns a status of "hot," "warm," or "non-target";
  • adds tags and notes;
  • if necessary, sends a notification to you in Telegram or Slack.

Step 3. Creating deals in HubSpot

What's important to provide for:

  • protection against duplicates (checking by email or phone);

Set up the rules:

  • instant notifications about hot leads;
  • a daily summary of deals;
  • task reminders;
  • alerts if a workflow crashed or didn't run.

This way you stop being a "bottleneck" and react to what's important, not to everything at once.

How to put it all together

The five workflows can be run sequentially or in parallel. The main thing is that data is transferred without loss. n8n is convenient because you can see the whole chain and test each step separately.
