How to stop drowning in routine: 5 n8n workflows for leads, CRM, and reports

A familiar picture: leads are there, but time isn't

You run a micro-agency or work as an info-producer. Requests come in from different places: a form on the website, Telegram, Instagram, email. Each one needs to be manually transferred to a spreadsheet, checked against criteria, a deal created in HubSpot, a report sent to the client at the end of the week, and the team notified somewhere. Each of these takes minutes on its own, but together they eat up hours. And what if there are dozens of requests?

The problem isn't that you work poorly. The problem is that there are no automatic connections between the stages. Data lives in different services, and you are the only "integration layer." The good news: this layer can be replaced with a set of n8n workflows that run 24/7 and don't get tired.

What exactly to automate first

Before building something complex, break the process down into five repeating blocks:

1. Lead capture — receiving a request from any channel into a single storage.

2. Qualification — checking against your criteria (budget, niche, urgency).

3. Deal creation — a suitable lead landing in HubSpot with the right fields and stage.

4. Client reports — regular export of statuses and metrics without manual collection.

5. Notifications — alerting the team or you in a messenger about important events.

Step 1. Lead capture and qualification

  • Is there a budget in the request?
  • Does the niche match your services?
  • Is a contact provided for reaching out?

If the lead passes the filter, it moves further down the funnel. If not, it goes into a separate spreadsheet for nurturing or disqualification. Important: qualification must be transparent. You can always open the workflow and see why a lead was rejected.

Step 2. Creating a deal in HubSpot

Once a lead is qualified, the workflow creates a contact and a deal via the HubSpot node. The key here is field mapping: source, amount, owner, stage. If the contact already exists, n8n will update it rather than create a duplicate.

A practical tip: create custom properties in HubSpot for your qualification criteria in advance. Then the deal will immediately show why a lead is considered "hot." This saves time on calls and task handoffs.

Step 3. Generating client reports

Manual report collection is one of the most labor-intensive processes. In n8n, it's solved like this: on a schedule (Cron node), the workflow pulls data from HubSpot, Google Sheets, or your analytics, generates a table or PDF, and sends it to the client by email.

You can set up different templates: a weekly status, a monthly metrics report, a stage-completion notification. The main thing is to define the structure once, and then the process runs without your involvement.

Step 4. Notification system

Notifications are what keep the whole system on its toes. Set up sending messages to Telegram, Slack, or email on key events:

  • a new qualified lead;
  • a deal has moved to an important stage;
  • a client report has been sent;
  • an error occurred in the workflow.

The last point is especially important. Automation without monitoring can silently break. Add an Error Trigger — and you'll learn about a failure before the client does.

How to put it all together without chaos

Five workflows are not five separate scenarios, but a connected system. Data is passed along the chain: capture → qualification → CRM → report → notification. To avoid getting confused, follow three rules:

1. Single storage. All leads first land in one spreadsheet or database, even if they later branch out.

2. Logging. Each workflow writes its execution status — this makes debugging easier.

3. Modularity. If a qualification criterion changes, you edit one node instead of redoing the whole chain.

What to do if you work with more than just leads

Micro-agencies often combine several directions: managing clients, producing content, preparing commercial proposals. Lead automation is only part of the picture.
