n8n integration with CRM: leads, deals, and notifications

· Source: original

Every day, leads come in from different places: a form on the website, a message on Telegram, an email, a comment on social media. A manager opens several tabs, copies data, pastes it into the CRM, and manually checks whether the client is a duplicate. This takes time, and some leads get lost or processed with a delay.

The problem isn't that the CRM is bad. The problem is that there's no automatic bridge between the lead source and the CRM. And as long as there isn't one, the business depends on the human factor: someone forgot, someone didn't have time, someone made a mistake in the phone number.

Integrating n8n with a CRM solves this task without a programmer. You set up the scenario once, and from then on leads flow into the right system on their own, and the responsible people get notifications. Below is how it works and where to start.

What exactly can be automated

Automation doesn't mean "replacing the manager." It's about the routine that can be removed. Here are the specific steps that are most often automated via n8n:

1. Receiving a lead from any channel. A web form, Telegram bot, email, Google Forms — n8n listens to these sources and pulls the data.

2. Data normalization. Brings the fields into a unified format: name, phone, email, source, comment.

3. Deduplication. Checks whether such a client already exists in the CRM by email or phone. If they do, it updates the card; if not, it creates a new one.

4. Writing to the CRM. Creating a lead or deal in Bitrix24, Airtable, Google Sheets, or another system.

5. Notifications. Sending a message to Telegram or Slack to the responsible manager: "New lead, get in touch within 15 minutes."

6. Feedback. After some time, n8n can request a review from the client and record it in the CRM or a separate table.

Each of these steps can be turned on or off. For example, if you don't have a CRM yet, start with Google Sheets — it's also a CRM-like system, just simpler.

The solution step by step — how it works

Let's break down the technical side. n8n is a visual automation builder. You assemble a scenario from blocks (nodes), connect them with arrows, and run it. No code, if you don't want any.

Step 1. Trigger. The scenario starts with an event. Options:

  • Webhook — n8n receives data from a form on the website.
  • Telegram Trigger — the bot receives a message.
  • Email Trigger (IMAP) — an email arrives.
  • Schedule — n8n itself pulls data from Google Sheets or another source.

Step 2. Data processing. Next, the data goes into a Set or Function block. Here you bring it into a unified format. For example, Telegram sends the text "Ivan, +79991234567, interested in delivery," and you need to break it down into fields. You can use simple expressions or connect an LLM for parsing.

Step 3. Deduplication. Before writing to the CRM, n8n checks: is there a contact with this email or phone? This is done via a CRM node (for example, Bitrix24) with a filter or via an intermediate table. If a duplicate is found, the scenario goes down the "update" branch; if not, down the "create" branch.

Step 4. Writing to the CRM. n8n supports Bitrix24, HubSpot, Salesforce, Airtable, Google Sheets, and others. You select the node you need, specify the fields, and link them to the data from step 2. For example, for Bitrix24: a lead is created with a name, phone, source, and responsible person.

Step 5. Notification. In parallel or after writing, n8n sends a message to Telegram or Slack. You can set up the format: "New lead from {{name}}, phone {{phone}}, source {{source}}." If the lead isn't processed within an hour, n8n can send a repeat notification.

Step 6. Error handling. If the CRM is unavailable or returned an error, n8n can retry or send a notification to the administrator. This is important so that leads aren't lost.

Here's what a typical scenario looks like: web form → webhook → normalization → deduplication → Bitrix24 (creating a lead) → Telegram (notification to the manager). All of this works without human involvement.

If you don't want to build this from scratch, there are ready-made kits. For example, n8n Lead Pipeline: 7 workflows with deduplication, CRM, and notifications — these are importable scenarios that immediately solve the task of receiving leads from forms, Telegram, and email with writing to Airtable/Notion and notifications. Another option is Lead Automation: n8n workflows for Bitrix24, Google Sheets, Telegram/Slack, and email, where the focus is specifically on Bitrix24 and Google Sheets.

What the business gets

When the n8n integration with the CRM is set up, several things change:

  • Response speed. A lead lands in the CRM and with the manager within seconds, not hours. In most cases, this is critical for conversion.
  • Not a single lead is lost. All channels are connected to a single flow. Even if the manager is offline, the lead is already in the system.
  • Less routine. The manager doesn't waste time copying and pasting. They immediately see a ready card and call the client.
  • Transparent analytics. You see how many leads came from each channel, how many were processed, how many conversions. The data isn't scattered across emails and messengers.
  • A single database. Duplicates don't multiply, and the client's history is stored in one place.

This isn't theory. Such scenarios work in small businesses and sales departments that don't have their own automation department. n8n lets you build everything yourself or take a ready-made solution.

Where to start

If you've never worked with n8n, here's a short plan:

1. Identify the lead source. Where do most come from? A form on the website, Telegram, email? Start with one channel.

2. Choose where to write. If you already have a CRM, use it. If not, start with Google Sheets — it's free and fast.

3. Build a simple scenario. Trigger → normalization → writing → notification. Without deduplication at the first stage.

4. Test it. Send a test lead and check that it appeared in the CRM and the notification arrived.

5. Add deduplication and error handling. Once the basic flow works, make it more complex.

If you don't want to spend time on building, look at ready-made workflows. For example, Lead Automation: n8n workflows for Bitrix24, Google Sheets, Telegram/Slack, and email — these are 8 scenarios that you can import and adapt to your needs. And if you want not only to collect leads but also to automate feedback, take a look at FeedbackFlow: an automated feedback collection and analysis system on n8n — 8 workflows for collecting reviews from Telegram, Email, Google Forms, and web forms with sentiment analysis. This is a logical next step after leads are already being collected.

Conclusion

Integrating n8n with a CRM isn't a complex project that takes months. It's a few scenarios that eliminate manual labor and lost leads. You can build them yourself or take ready-made ones and save time.

The main thing is to start with one channel and one action. After that, it scales on its own. Take a look at all Automation solutions — there are ready-made kits for various tasks: from receiving leads to analytics. Choose the one closest to your situation and implement it.
